Creating automated reports in Salesforce is a challenge for you?

Getting started right away, let me tell you this – You can create reports within Salesforce and even schedule them, without installing any additional app. Salesforce’s Trailblazer Community provides rich building reports documentation on that.

However, going plain with Salesforce, you will be facing a number of limitations:

  • you can only schedule a limited number of reports
  • reports cannot be sent as an attached file
  • no custom email templates available
  • no report sending to external emails (non-salesforce users)

And that is why plenty of users prefer using an app to overcome these challenges – this is easier and less time consuming than to build up something from scratch. Besides, not each user has the necessary developer skills.

If you like to try it out, you can get our free available Report Sender app on the Appexchange. But maybe let me first give you a brief overview of the app.

Setting up Report Sender

In the following I’d like to walk you through how easy you schedule reports with the Report Sender App:

Start by clicking on your App Launcher, which is the icon in the top left of your Salesforce dashboard (see the yellow arrow on the below screenshot).

This will pop open a window with all your available apps. Click on the CloudAnswers Report Sender box and we will begin to schedule your report.

To create a new report, or your first one, click the New Schedule button. Once you created reports, you can easily manage them from here with edit, send now, and delete.

Now, you can set your report for frequent delivery by adding a meaningful name, select the report you want to send from your report folder and add further details like recipient(s), what time and how often you want the report to be sent. A good add-on, you can enter a custom email subject and body, a few lines can do small miracles instead of sending out just the report without any words.

After saving your settings you’re done ✅. The report will be sent at the scheduled time(s).

You can click the send now button if you want to send the report immediately, but if you entered a schedule it is not necessary.

Making sure things are set properly

A good tip here is to set up the report with your own email, click Send Now, make sure it looks like you want. Then change the email addresses to the client’s or whoever you want it to go to and set up the schedule.

Send report results to non Salesforce users by email

With our Report Sender App, you can send reports to any email address including non-salesforce users. The recipient gets the report as an attached file in user-friendly Excel format. So you can ensure that anyone can get your reports without the need of having a Salesforce license.

All you need to do is add one or multiple email addresses when editing your report.

Be aware that this needs to be filled out before you click Send Now or else it doesn’t go to anyone.

    We installed the Report Sender app in our lower Salesforce environment a couple of weeks ago.
    One of our use cases is to send the same report (with an Excel spreadsheet) twice a day (6am and 3pm) – which has been working fine up until this past week.

    However, we’ve been noticing lately that the 6am run is running late.
    A couple of days the report went out around 7am; the other days it went out around 8am.
    Surprisingly the 3pm run is working just fine.

    What gives? Nothing’s changed in our lower Salesforce environment.
    Where can we look in Salesforce or in the Report Sender app?
    Any help would be greatly appreciated.

      Are you getting an error email when it doesn’t send on time? We have an update coming out this week, you should have received an email about it. That has a few fixes related to the weekly reports that may have affected you. If this doesn’t work, please reach out to us via the chat widget on our website.

    Is there a way we can send multiple reports at one time ?

      Hi Prateek.
      there is one report per email, but you can schedule multiple emails to be sent at the same time but not as multiple attachments in one email.
